Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of OFMD Mail and Receiving Services. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: Primary function is to collect, sort, deliver, and process United States Postal Service mail and inter/intra-departmental mail from faculty, staff, and students among all University sites. And, process and deliver departmental packages utilizing computer-based tracking system as well as obtain appropriate signatures and storing of documents. As scheduled assist with handling mail in meter operation as directed as well as assist with logging departmental international mail in an excel document for charge-back purposes. All functions require a high degree of accuracy with deliveries and sorting speed as well as efficiency in memorizing multiple WUSM mail/package zones and Danforth, West, and North Campuses. As needed, provides back-up support for Medical School Mail and Receiving Operations as well. Must maintain high level of customer service and professionalism. Interact directly with lead support staff on a regular basis. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Deliver mail and packages to departmental offices and labs on the WUSM and Danforth campus as assigned on a regular schedule. Rotate to a different route as assigned to remain familiar with all mail zones and routes. Provide a high degree of customer services to faculty, staff, and students with accuracy and timeliness. Deliveries are time sensitive including delivery of research matters/specimens, supplies, equipment, payroll, accounts payable checks, and packages that requires obtaining the appropriate signatures. Collect out-going mail from WUSM departments and offices for further distribution. This service includes the collection of mail and packages from departments that need to be metered and mail with postage affixed. During staff absences, cover additional mail stops to fulfill the entire route sequence every day. 2. Sort and prepare incoming mail and packages received Federal Express, UPS, US Postal Service, DHL, and dozens of other WUSM carriers. Prepare inter-campus mail from School of Medicine, Danforth, West Campus, and North Campus departments. Organize and load mail and packages into mailing tubs and prepare for final loading into mail carts and/or campus vehicle based on assigned route. 3. Rotate to other areas of the mail services operation as needed including back-up carrier service for Danforth, West Campus, North Campus, and other Medical School delivery system as specified. In addition, provide support in the student mail operations during peak periods including scanning packages and distribution to students requiring a high degree of customer service. Assist with logging international mail in excel report for the purpose of tracking weight and accounts to be charged by department. Develop end of day international mail manifest and daily shipment by Federal Express to external vendor. 4. Check before each delivery for accountable mail and packages with a tracking barcode. Obtain signatures on Personal Digital Assistant (PDA) during delivery route for accountable/trackable mail and packages. Ensure proper PDA syncing upon return to the office. Process signatures in University tracking system and file reports appropriately by date. Rotate scanning of packages and sorting of mail with other runners/carriers to remain well trained in each function. 5. Organize mail and packages that needs to be metered for delivery to meter operation. Assist with sorting and metering process as needed. Collect meter mail, add postage strips, help seal, and other tasks as needed. Assist with folding and inserting mail service jobs by machine or by hand as directed. 6. Record mail and package volume every day including inbound USPS mail, packages from all WU carriers/service providers, and campus mail. Utilize computer to assist with looking up staff names in the Washington University directory for mail without proper box numbers. Support Senior Manager, WUSM Operations Manager, and Mail Services Supervisors as directed. Other duties as necessary. Required Qualifications High school diploma or equivalent high school certification. Preferred Qualifications * Previous mail and or customer service experience a plus. * Position requires a chauffeur’s driver license and safe driving record. The University will check driving record approximately once per year. A valid driver license must be carried at all times. Must observe all posted speed limits and drive no faster than 10 MPH in areas where there are none posted. * Ability to use mailing equipment to log “trackable” mail, envelopes and packages. Utilize computer systems to accomplish daily tasks including the look-up process of improperly addressed mail, forward, and return to sender services. * Adhere to specific time schedule as specified for routes. Daily Schedule – Monday through Friday, and alternating Saturday hours. Must be able to start as early as 7:00 AM and work as late as 6:00 PM on assigned days and available to work 8:30 to 12:30 on Saturdays. Overtime may be necessary for peak student move-in periods. * Experience desired in using Microsoft Word and Excel, e-mail, and basic computer functions. * Customer service experience preferred with the ability to provide prompt, friendly service during peak periods specifically around student move-in and move-out dates. Ability to interact with students, parents, faculty, and staff. Capable of answering questions from users relating to postage rates and mail delivery service. * Assist with continuous process improvement, optimize speed and efficiency in operation, and minimize customer wait time. * Ability to work independently and work well with co-workers as well as students, part-time, and full-time staff between each Mail Services operation. * Ability to lift and handle up to 70 pounds. * Must have excellent attendance record at previous jobs. * Ability to identify and report any mail or package that looks unusual or suspicious in nature to a supervisor immediately or campus police. Salary Range The hiring range for this position is $13.80 - $16.53 per hour.
